Duke University Press

Managing Editor: Duke Mathematical Journal (DMJ)

 

Occupational Summary : The managing editor of the Duke Mathematical Journal is responsible for managing the editorial and administrative processes of the journal , which is published fifteen times per year. Responsibilities include meeting production schedules, maintaining editorial quality, supervising a team of three editorial staff members, and working with editorial freelancers, authors, production coordinators, and the journal's academic editor. Candidates should have positive, constructive leadership skills, solid editorial and project management skills, and experience in scholarly publishing. Experience in math editing and familiarity with LaTeX preferred.

Work Performed:

 

•  Supervisory

•  Assist in the hiring of DMJ Staff (two Assistant Managing Editors, and an Administrative Secretary)

•  Supervise, evaluates, and monitors the performance of DMJ Staff

•  Recommend personnel action including but not limited to hiring, promotions, transfers, performance appraisals, and vacation schedules

•  Oversees departmental training and ongoing education in La TeX , ensures that continuing education is both available and availed

•  Engages freelance copy editors and proofreaders in consultation with Managing Editor Senior

•  Administrative

•  Consults with Managing Editor Senior regarding departmental policies and procedures

•  Implement and ensure compliance with departmental policies and procedures

•  Interpret departmental policies and procedures, making day to day decisions as necessary in accordance with precedents and practice. Apprise supervisor of significant situations and circumstances that appear to fall outside the established policies and procedures

•  Incorporate new technologies as directed by Managing Editor Senior

•  Create and monitor DMJ Editorial schedules

•  Coordinate editorial schedules with the Production Coordinators for the purpose of establishing reasonable and realistic publishing schedules

•  Oversee the DMJ editorial operation and distribute DMJ workload

•  Approve final proof of DMJ according to DUP editorial standards

•  Ensure that issues are sent to production, DMJ web site, and third-party hosting according to schedule

•  Consult with Academic Editor on various issues, including but not limited to personnel issues involving the Administrative Secretary, La TeX file support, designing issue table of contents, and special editorial concerns of authors and the editorial board

•  Prepare preliminary budget data for DMJ to supervisor and department manager in a timely and accurate manner

•  Ensure that any client (subscriber or reader) concerns about the journal submitted via the web site are address by appropriate staff person at DUP

•  Editorial

•  Maintain a solid working knowledge of La TeX and effectively communicate with authors, freelancers, and in-house staff regarding special editorial concerns

•  Responsible for the maintenance and periodic update of the DMJ editorial style guide

•  Review and resolve problems regarding special copyediting or production as related to manuscripts

•  Ensure that manuscripts are edited according to style

•  Resolve differences with authors about editorial changes

 

•  Other

•  Attend professional meetings and conventions as appropriate. Overnight travel may be required.

•  Participate in Press committees and regular meetings.

•  Perform other related duties incidental to the work described herein

Education

 

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

 

Experience

 

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

Assistant Manager, IT

Duke University Press

 

Description of Duties

 

 

The Assistant Manager of the IT department will assist in the day-to-day management of the computing services and resources to promote the efficient and effective use of capital and human resources and will direct the activities of assigned areas. The successful candidate for this position will have excellent communication and project management skills in addition to programming skills.

The Job Duties

 

I.  Assist the IT Manager to advance the long-term plans and short-terms goals of the department

•  Prepare operational reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.

•  Coordinate and participate in projects designed to raise the effective use of computing resources; plan and coordinate work for the group of departmental representatives; ensure proper distribution of work assignments, staffing levels, and logistics.

 

II.  Direct the work of the information technology staff through the supervision of Database Administrators/Programmers, Network Administrator/Help Desk Manager and Help Desk Assistant; monitor performance

•  Make decisions in consultation with the IT Manager regarding various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers, and vacation schedules.

•  Supervise the development of security protocols and standard operating procedures for information backup and maintenance; supervise the establishment of standards for information storage.

•  Evaluate hardware and software resources; analyze deficiencies and future needs; work with managers to identify department requirements; gather information, analyze, and recommend solutions.

.•   Through consultation with other departments, direct the Database Administrators/Programmers in designing the architecture of information systems to support business and bibliographic needs:

a.   Translate departmental work flows and processes into electronic format

b.   Establish a common definition for data elements

c.   Resolve conflicts over creation, control, and use of data.

.•   Serve as liaison with vendors to maintain software and hardware resources; resolve problems with vendors  

IV.   Develop documentation systems for electronic business systems

  a. Supervise the preparation of instructional materials and procedural manuals.

  b. Oversee tutorials to increase productivity

  c. Provide periodic training in standard operating procedures

 

V.   Serve as technical backup to other IT staff

 

VI. Maintain liaison with other computer professionals to remain abreast of new trends and technologies

 VII.  Travel to represent Duke University Press at professional meetings

Education

 

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.

 

Experience

 

Work generally requires three years of clerical or research experience to acquire skills in

administrative or project research responsibilities as well as accepted office organization,

communications and research practices.

 

A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.

INTERNSHIPS

If you are interested in a career in publishing, or want to have a stronger understanding of the publishing process, you may want to intern with Duke University Press. 
 
Books Editorial

As an intern, you will do work similar to that done by the editorial assistants. A great deal of that work is administrative (which is true of book publishing in general). You will be involved in the review and revision process, while also doing some filing, copying and mailing. You will be working on our database, logging in and rejecting manuscripts, as well as preparing manuscripts to be sent to readers. You will correspond by e-mail and phone with reviewers and authors, and help us prepare packets for the Board (which means doing some Internet research and sometimes writing a summary of a book's argument). You will also be invited to attend the weekly marketing launch meeting, which will give you some insight into how a book is publicized to reach its target audience, and into the business side of publishing.
 
The internship provides early exposure to some of the cutting-edge academic work that our authors produce. In addition to learning how an academic book is brought into the public, you will also get some excellent experience with publishing terminology and protocol. A solid internship experience means that you have a great reference for entering the publishing world. Many of our editorial interns have gone on to publishing careers at university presses and at trade houses in New York City .

Journals Marketing

 

The Journals Marketing Department has two positions available that support eight full-time staff who oversee the complete journals marketing program (library sales, electronic collection sales, advertising, publicity, Web presence and development, direct marketing, presence at academic and library conferences) for over 35 academic journals.

 

Duke University Press is located in Brightleaf Square (in downtown Durham ). The Duke University Press Journals Division is in the process of acquisition and growth, in response to a rapidly changing and challenging publishing environment. The internships offer the opportunity to explore and sample many different facets of academic publishing and marketing at one of the largest university press in the United States . Interns will also have the chance to work in the editorial offices of the Duke Mathematical Journal for some portion of the internship.

 

During the school year, the internships would consist up to 10 hours per week with schedules to be negotiated based on academic schedules of the students.

 

Journals Marketing intern projects may include:

• Web searches for information such as institutional library contacts, peer journals, and advertising rates

• Preparation of advertising tearsheets and invoicing

• Manage and assemble annual marketing material archives

• Assist with preparation of publicity kits, renewals mailings, and direct mail projects

• Receive and check format of electronic advertisements

• Manage correspondence for mailing list rentals; run standard mailing lists and prepare for delivery

• Special projects at the direction of the Journals Marketing Manager, Assistant Marketing Manager, or Library Relations Manager

• Hardware and software you may use: MacIntosh OSX, PCs, Umax scanner, copier. Adobe Photoshop, Adobe InDesign, Filemaker, Adobe Acrobat and Distiller, Microsoft Office applications, DropStuff and Stuffit Expander, and other database systems.

• Data entry

• Approximately 5 to 10% of the internship may involve administrative tasks for Duke Mathematical Journal editorial office.

  Project Euclid Intern

 

Project Euclid, jointly managed by Cornell University Library and Duke University Press, is a user-centered initiative to create an online environment for the cost effective distribution of serial literature in mathematics and statistics. The person in this position will learn about electronic journals, scholarly communications, journals acquisitions, journals revenue sharing, and online hosting. The incumbent will also gain an understanding of the university press environment.

 

Responsibilities include (but are not limited to):

  • Research potential partner publishers for Project Euclid.
  • Create and maintain partner publisher files.
  • Assist with partner publisher revenue sharing payment process.
  • Assist with partner publisher invoicing process.
  • Prepare form letters for partner publishers explaining revenue sharing and hosting fees.
  • Assist in designing partner publisher survey, which will be used to help shape the future goals of Project Euclid.
  • Filing and other clerical duties.

- Work with the new manager to create systems to improve workflow.

Logistics Coordinator Assistant/5-10 hours a week

Responsibilities will include (but not limited to)

•  Assist the Logistics Coordinator with special projects, budget, filing, data base entry and computer drawings.

•  Help to physically implement new initiatives for organization

•  Help to create and populate databases for new initiatives for organization.

•  Researching and tagging of office furniture, file cabinets and relocation as needed.

•  Assist in creation of Visio layout of Duke Press offices

This position will be most interesting to someone who has a sense of organizing and likes to work on processes to create a more organized environment. This position will give you the opportunity to see behind the scenes of the Duke University Press.

Development Intern/5-10 hours a week

Responsibilities will include (but not limited to)

•  Researching grant database for foundations to support Press initiatives.

•  Populating and updating new development FileMaker database.

•  Running reports in development database as needed.

•  Updating book database and sending out letters to authors on an ongoing basis.

•  Creating and Maintaining author files.

•  Various clerical duties.

 

This position will support the development projects coordinator with grant writing, research, database entry, and some clerical work. The person in this position will not only learn a great deal about fundraising, they will also receive an excellent grounding in the overall administration of an academic publisher. The development projects coordinator at Duke University Press is also the assistant to the director, so the position will give the incumbent experience in the areas of editorial, production, and the operating processes of Duke University Press.
